Information we collect
We collect the information you provide when you contact us, apply to rent a home, or use one of our tenant, vendor, or owner portals — such as your name, contact details, and the records needed to manage a property relationship.
How we use it
We use your information only to provide property management services: responding to inquiries, processing applications and payments, coordinating maintenance, and reporting to property owners. We do not sell your personal information.

REOS plugin privacy notice

This notice covers the REOS connection in ChatGPT. It supplements the property-service notice above. Connecting requires your own REOS account; installing or sharing the plugin does not grant access to a business or another person's records.
Information used and why
We process your account identity, connection permissions and authentication records to sign you in and enforce access. Supported requests include tool names and the inputs needed to perform them. Results can include authorized business and property information, units, occupancy, tenant and lease details, balances and maintenance records. Available functions depend on your existing permissions and the connected version.
We use this information to respond to your requests, prevent abuse and investigate errors. The connector usage log records account, connection and business identifiers where applicable, the tool name, outcome, error code, timestamp, duration and a hash of its inputs. That log does not store the original tool inputs. Property changes and support interactions can have separate records; this statement does not describe every application or infrastructure log.
Who receives information
Requested tool results are returned to OpenAI so ChatGPT can present them. Check who can access your conversation before requesting confidential records. ChatGPT conversations are governed separately by your OpenAI account settings and OpenAI's privacy policy. REOS uses Supabase for authentication and database services and Vercel for hosting. Authorized staff and service providers may access information needed to operate and support the service. The plugin does not add an advertising or behavioral-profiling service.
Retention and disconnecting
Connector usage logs and stored connection records currently have no automatic deletion deadline. They remain until a reviewed deletion is carried out. An access credential expires after eight hours and a refresh credential after 90 days; expiry and revocation stop access but do not erase stored records. Disconnecting does not delete previous ChatGPT conversations or the underlying property, accounting, support and audit records. Infrastructure logs and backups have separate provider-controlled retention settings.
Your controls and requests
You can stop future connector access by disconnecting in ChatGPT and revoking the connection in REOS's account connection controls. For access, correction or deletion requests, email rocky@rrpropertyinc.com with the subject "REOS privacy request". We verify identity and authority before acting and explain records that remain for property operations, security, accounting or legal obligations. Removing REOS data does not remove data held independently by OpenAI. Use OpenAI's controls for your ChatGPT conversations.
